hi everyone it’s me Mickey here with tips on how to process orders for your home-based business yesterday I posted a video showing you my mail station and kind of how to set that up and I got a lot of requests to share kind of how I process my orders for my business so I’m happy to walk you through processing our order and I hope you find it helpful now the first thing I do is I go to my computer every day and I log in to PayPal to see all of my orders for the day all the orders that I need to go ahead and ship out process or whatever I need to do I go ahead and look that up and everything is processed through PayPal so when you shop on my website you pay through PayPal and then that’s why I can easily go there I then pull my kind of sales receipt book here and I keep it right here next to my monitor and I write up a sales slip for every one of my orders and so this is what I do for each sheet for every order and I write the customers name the address this is all information and I’m looking at the screen and I’m getting from PayPal so it takes no time to do and you know it’s not a long process this may seem longer but it just as you’re doing it every day it’s just really quick and then I put the date there and then I also write what they’re ordering now with my company because typically when you order something off my website we are hand making it for you and so I’m writing this up also as a slip for my husband to know that we need to make this order and so I put it under new orders and I have a little clamp in my little workstation here and I have a link to my work I’ll put a link to my workstation I’m kind of tour so you can see how that set up and my husband comes and he takes it so that he can take it down to this workshop and he can make all of the orders for the day when he’s done he sits it out back on my big craft table here and I know it’s ready to ship I go to my kind of mail station here I pulled my envelope I pulled my tissue paper I pull everything I’m basically needing to kind of package this order together and to ship it out and I get my labels here I use my labels to package my items also and then I go to my work table now I also grab my business cards and I grab my VIP cards which my VIP is a kind of customer appreciation program that I have for customers that have ordered three or more times for me and then my little velvet bags which I package my merchandise in and so I have this all on my table ready to do my orders now this is all the stuff for one order now if I have multiple order it’s all lined down the table so I may have like five different orders so I have each one of these four five you’re lying down the table an assembly line kind of method and it works best for me and works fast for me at that point so it really isn’t a Brooke little system for me and it works neat you know it just works for me and so the next thing I do is I look at the product and this is one of the new pins that we just came out with it’s gonna be on my website probably tomorrow but I look it over to make sure everything is okay that there’s no marks or errors that it’s perfect to go out to my customer and once I’m happy with it I didn’t put it in the velvet bag so that I can package it up and you know I draw pull the drawstring there and I’m ready to kind of facility now inside the tissue paper with the product I do like to put my business card along with if this is person that has just um come into the VIP program like they’ve ordered three or more times for me then they get a VIP card you only get it one time but they get a VIP card which allows them to shop an exclusive website I have set up for my VIP members and they have a little code on this card that they use to access that site and so if they are you know you know if they’re getting a VIP card this time I’ll put that in there if not it’s simply just the product along with my business card inside the tissue paper so I keep kind of keep it simple process so but I can do another video on the VIP people kind of how I set that up and how I came up with it on a different video if you’re interested let me know and so basically here I just I’m ready to close it up I think that when you’re coming up with how you want to package your process your product you want to make sure that it’s something that’s very neat something that’s very simple along with something that your business can afford and this is very economical for me to package my things for my cluster or but have a nice look and a nice presentation when they get it it’s not anything that’s too detailed or anything but I think when they get their product they can tell that I put care to wrap it to make sure it’s okay along with you you always want to put some type of identification of your business on there and what that is for me is actually the the sticker that I put to seal this down so once I fold this neatly I take one of my stickers that says Snickers designs on it and that’s how I seal this off and so if you wanted you know however you come up with your so I think it’s just important to always have your brand somewhere around your packaging and so now it’s ready to go in the envelope it’s all sealed up and ready to go I simply put it in my padded envelope here and we’re good to go and so from that point I’m just going to fill it up but I don’t put in a receipt or print any invoice or anything like that I save on paper like that the lovely thing about PayPal is that they email the customer every time they purchase something so they have their email receipt so it’s not necessary for me to you know waste paper printing and giving them something plus I have the receipt also my sells invoice so you know it’s just I think it just saves on paper saves on time and it’s just a great method that’s why I love PayPal and so then I’m ready to go here now because I may be processing more than one order here I want to be sure to keep the correct white slip with the correct order and so what I do from that point is I just take a simple clamp for each order and I clamp the white sheet to the order so that while I’m going through the process of printing labels and things like that they are two connected because once you seal that up you don’t want to mix anything up and so you don’t want anybody receiving the wrong order I then take my postal scale and I need to weigh the package so from that point I simply just weigh the package weigh the package to see how much it weighs and then that way I know when I go to process to order I’m I have that information so I see it’s three point two ounces I write that at the bottom of the white sheet so that when I go to my computer I have the weight on there and I’m good to go at that point so then I go get my labels of my postage labels and I put it in my printer because then I’m ready to print my on labels and then from that point I take all of that orders and I go to my computer and I pull up my PayPal so that I can print the shipping label and PayPal makes it so simple so I pull up the first order I’m ready to ship it I make sure it says ok to ship and payment status completed at the top that is the two things you want to check first because PayPal is saying ok the payment processed ok and it’s ok to ship this package to this customer if it doesn’t say that then you do not want to do it at that time and you want to investigate you look at the address and you make sure the address is ok and this is really a quick process it may seem longer now because I’m kind of walking you through it but when I’m doing this every day and going through my orders I’m so used to it now it’s just really a quick process so I’m making sure that basically all the information is correct that I have the correct order that the product is correct the price everything is just correct it’s just a one second scoop over look over and then you’re good to go and then you go to the bottom of the screen and then you slip simply from that point it has a little thing that says print shipping label and that’s what you want to do print shipping label and it brings you to this screen and then you just double track check the ship from address the ship to address and this is a mock one here because I didn’t want to show any customers address so this is just when I made up here you say select your mail type I do first class and then from that point you want to select your packaging type I have a thick envelope not large I have a thick envelope so I changed that and then I put my weight in there for the order remember I wrote down the weight in the side of the white sheet in the bottom corner so you would just type that in there whatever the weight is and then when you scroll down they’re just gonna ask other things like do you want the delivery confirmation is free PayPal does that basis you know did you want a signature confirmation I never do that I get a tracking number that works fine for me in my business I’m not paying the extra for that and I’m not gonna charge my customers extra for that and you know if you know that just something I don’t do and then at the email message to the recipient then I just type in a simple message thanks for your business and keep it very simple very basic if it’s during the holidays or something like that you may want to say Happy Holidays or something but you know whatever message do you want to your customer and then you’re ready to print your shipping label from that point so all you have to do is go to the bottom of the screen and then it’ll say print shipping label and then you just simply click print shipping label and it’ll take you to this screen here that shows you your actual label and I have sample written over it right there on your screen but that’s not how it’s gonna print so then you click the print label and it will print your label now it’s gonna ask you if it’s okay don’t click the ok button until you actually go look and make sure that your label printing curl up correctly because if it didn’t print correctly then you can say print again but if you click OK then you have to go back in and say hold another process so here’s my label printed now I have two sheets here you can print to label postage on one or I use one sheet for customer here where I have my Pro stash on one side and they have my confirmation on the second side and I prefer printing this way it works better for me so then at this point I’m ready to go ahead put the postage on the product and so I just simply it’s a label so it’s simple it just pulls off and then it just goes on my envelope and I am good to go there and so just make sure that it’s on there really nice and that the scan barcode is fine it’s not wrinkled up or anything so they don’t have any problem scanning it at the post office I then cut out the online kind of the the record here that has the USPS tracking number on it and also tells you who you mailed it to from and that kind of thing now what I do is I stick this to the back of the white sheet so everything is kept together and I love this because it’s really neat simple easy easy easy and so you just put this on the back here and you’re good to go then from that point I’m ready to ship out so I take this sheet here and I put it under my monitor here because it’s now all ready for the accounting process then I go into my QuickBooks and are entering into the counting process I necessarily don’t do that right then and there so that’s why I sit it on my computer and then I have an in going mail outgoing mailbox down here in my little workstation I throw it in my outgoing mail until I’m ready to take it to the mailbox or take it to the post office whichever I do if I don’t have a lot of orders my postal lady she’ll take it for me if I have a lot I usually just take it to the post office which is right down the street so it’s really easy and some and so that works you know great for me there and then when it’s time to finish up with the white sheet and say I’ve entered it all into my QuickBooks I put a little green mark at the bottom letting me know that QuickBooks is updated everything is done with this order it’s totally complete and then I file it in my business receipts binder here so this is where all of the white sheets are kept in here and so this is a great kind of accounting method and keeping track of things and what I do is I have it broke down by months the twelve months and so if that order was taken this month in April then I put it in the section of April and that way if something happens with the order I need to go back and look at the tracking number anything it’s right there for me I can also look at the tracking number on PayPal so that is confusing it too but you know I always have my hard copy here and then when this gets too full like usually around the you know but this time March April time it may get full and then I can pull them and put them in the archival section that I have dedicated for my business but for now while this can hold it the initial orders and things like that I put them into my business receipts binder here so it really works good this system just really works for me I just I’ve been happy with it and there are some few things that I may tweak here and there but I just sit the receipts binder back there in the corner on my desk I love that everything right here is in this little closet office that I built for my business it’s very handy it keeps everything neat it keeps everything under control and I’m able to process orders quickly easily and I can do a good bit at a time I mean my business is not booming to where I’m having you know hundreds of orders a day or anything like that but I have enough to keep me flowing well and I really feel comfortable with it and it’s just the process works smoothly for me now if I get to the process where I’m doing tons and tons of more orders I may have
